Editing your allocation

 

After the system completed the automatic allocation, you can change your allocation manually and reassign a submission to a reviewer on your review list of submissions. 

Go to your review list

 

There are two easy ways to access the reviews list.

 

The first is using the Review Allocated card on your dashboard. From this card, you can:

  • use the View Submissions button to see all submission assignments
  • use the View Partially Allocated button to review submissions that have not been fully allocated, meaning have at least 1 reviewer assigned but there are still empty reviewer slots
  • use the View Not Allocated button to see all submissions that have no reviewers assigned

 

The Review Allocated card is only visible after allocating and before opening the review. 

 

The second way you can look through the review allocation is to click on Review at the top of the page and ensure you are looking at your List of Submissions. The All Statuses filter allows you to narrow the list down to view only:

  • Allocated Submissions, meaning submissions that are fully assigned and have no empty reviewer slots
  • Partially Allocated submissions that have not been fully allocated, meaning have at least 1 reviewer assigned but there are still empty reviewer slots
  • Not Allocated submissions, meaning those that have no reviewers assigned

 

 

Manually update the review assignments

 

You can now change the existing assignments or add reviewers to empty slows by following the steps below. 

 

1. Click on the existing reviewer's name or the No Reviewer slot

 

 

Step 2. Modify the assignment 

 

You will see a pop up after clicking on a reviewer slot and will have four options:

  • Choosing one of the top 3 reviewers will close the pop up and make the assignment. Selecting one of the top 3 names will update the existing assignment to that specific person. You can see the assignment straight away. You can see how many reviews that the reviewer has on the right-hand side to try to avoid overwhelming an individual person.



  • Clicking on Search by Name or Email will allow you to browse your full reviewer list. You can then click on the name of a reviewer to assign them. Their current workload appears on the right hand-side



  • Choosing to Invite a Reviewer will enable you to send out an invitation to a new person who is not in your reviewers list quite yet. You'll need to enter in their name and email.


     
  • Choosing No reviewer will leave the slot empty. You can add a reviewer later, if needed.

 

Step 3: Open the review when ready

Once the assignments are complete, you can now reviewers to let them know it is time to begin reviewing. We have a guide for these steps here.

Can you explain a little more about the list of recommended reviewers and stars?

The system will recommend reviewers based on topic match. For example, if a submission has 5 topics and a reviewer shares all 5 topics, they are considered a perfect match. 

  • 3 star reviewers = a perfect topic match
  • 2 star reviewers = matches on a few topics, but reviewers do not match on all topics
  • 1 star reviewers = matches on at least one topic, but does not match on many other topics
  • 0 star reviewers = no topic match

 

It should be stressed that our recommendation engine does not take into account a reviewer's intellectual ability, reputation or academic qualifications. 

 

Can I change reviewer assignments after the review is opened and reviewers have started their work?
