Message templates

Your Ex Ordo platform comes with message templates that make contacting your authors, reviewers, delegates and site users a breeze. This article goes through how:

  • to locate your message templates
  • view and edit your message templates
  • revert changes made to message templates
  • to understand which message templates are sent automatically

 

Locating your message templates:

  1. Click on the Communication hub at the top of the page
  2. Select the Templates drop-down menu
  3. Select a specific user group, such as Account, Author, Reviewer or Delegate
  4. You will now see all templates associated with that user group. 

 

Viewing and Editing your message templates:

  1. Follow the steps above to view message templates for a specific user group
  2. Click Edit Template next to the message you wish to change
  3. In edit mode, you can:
    1. Click on Preview to see what the message will look like. The preview will contain sample data, such as names and submission titles. The sample data will not match real content in your platform. 
    2. Click on Edit to modify your message. You can delete, change or add new content into your message template. Be sure to personalise your message using macros.
    3. Change the subject line of your message template. This subject line will be visible to recipients when the message is sent.
  4. Click Done when you are happy with your message template. 

 

Reverting changes made to message templates:

Need to go back to the default message template? No problem! 

  1. Follow the steps above to view message templates for a specific user group
  2. Click Reset Template next to the template you wish to reset. All changes made will be reverted to the default Ex Ordo template. 

 

Automated templates:

Some templates are sent automatically. These include:

  • All templates in the Accounts recipient group:
    • The Welcome Message template will go to all site users the first time they log in. Many people will receive this message. We recommend reviewing it and updating it with key information about your event. 
    • The other templates in the Accounts section will go to users 5 minutes after they are added into the site for a specific role (chair, assistant, track chair, review group chair, data viewer). 
  • Two templates in the Author recipient group. We recommend reviewing these because they are sent to all co-authors 15 minutes after completing an initial submission or final submission.

  • If using the panels feature, two message templates are automated. We recommend reviewing these because they are sent to panel organisers 15 minutes after they submit a panel; or when a panel contribution is submitted to their panel.

  • Two templates under the Reviewer recipient group. Please email support@exordo.com to disable one or both of these templates if you do not want them sent to reviewers. 
    • Notification - Reviewer Assigned: sent to a reviewer when they are assigned a new submission to review after the review has begun.
    • Notification - Reviewer Unassigned: sent to a reviewer when they are removed from review after the review has begun.
  • If using the Registrations hub, all templates under the Delegate recipient group are automatically trigged based on actions in the registration hub, such as completing a registration and paying by card, or confirming that the registration will be paid by bank transfer.
  • If using Virtual, the single template under the Virtual recipient group will be sent to authors when new questions are asked on their presentation in the Virtual hub.
