Review group chair: Inviting reviewers to choose their topics

 

You may be asked to invite reviewers into the system and to ensure they have a status of Ready to Review, which means they have logged into the system and selected topics. 

 

You may know your reviewers and their topics already. In this case, you may not need to send invitations.  You can instead add reviewers and assign them topics.

 

Step 1: Add your reviewers

In order to send email invitations to your reviewers, you will first have to add reviewers  into the system. You can do this in the List of Reviewers located in the Reviews hub. 

 

 

Step 2: Create the invitation email

 

After adding reviewers into the system, you will immediately see a Send Invitations button. Click on this button and follow the prompts to send out your email.

 

 

Sending invitations is optional. Because of this, the invitations button disappears if you do need use immediately. Not to worry! You can still send invitations by:

1. Navigating to the Communication hub

2. Click the Create Message button

3. Choose Reviewers as the recipient group

4. Ensure the filter is set to Not Invited

5. Follow the prompts to edit and send your message

 

No matter how you create your invitation email, it's important to ensure the filter is set to Not Invited. Click Next to edit your message.

 

 

Step 3: Customise your invitation

 

You can now customise your invitation in the following ways:

  • Add a subject line (required)
  • Edit the invitation template (optional)
  • Add attachments (optional)
  • Change the signature to your name at the bottom of the page - it is the conference signature by default. (optional)
  • Change the reply to email to your own at the bottom of the page - it will be set to the conference email by default. (optional)

Hit Next when ready.

 

 

Step 4: Review your email

 

You can review your email on the next step. You can send yourself a test message to see it in your own inbox. Click Back to edit the message or click Done if you are happy to send it. 

 

 

Step 5: Send the message

 

The last step is to click on the Send Message button and give your reviewer's some time to accept your invitation, log into the system and select their topics.
