Step 1: Finalise the settings
Your conference organisers will have set up the review process and confirmed the marking scheme. All you need to do is invite/add your reviewers.
Step 2: Allocate submissions
Find your Review Not Yet Started card on your dashboard and select Allocate Now to bring you to assign each submission to the most appropriate set of reviewer(s).
You will be brought to the list of submissions in the Reviews hub. There are two options:
- Allocate Submissions - the system will match submissions with eligible reviewers. You can reallocate later.
- Skip Review - push the entire track into review so you can simply assign decisions without reviewers opinions. Chose to skip the review? You can begin making decisions when ready!
It can take a while to allocate all the papers, so feel free to work on something else or grab a cup of tea!
Step 3: Check and edit the allocation
You can look through the review assignments and make changes once the allocation is complete by:
- Using the Re-allocate Submissions button to get completely new assignments
- Clicking on a reviewers name or empty reviewer slot to make manual assignments
Selecting a reviewer slot will open a pop up. You can:
- Select one of the 3 recommended reviewers
- View your full list of reviewers by selecting Search by Name or Email
- Invite a Reviewer
- Leave the reviewer slot empty if one is not needed
Pro tip! When selecting a reviewer consider their star rating and current review assignments. The stars indicate if a reviewer is a strong or weak topic match to the submission. The number indicates how many submissions a reviewer is currently assigned.
Not allocated or Partially allocated submissions
It sometimes happens that not all your submissions get allocated. This is either due to:
- your allocations settings where the limit of submissions per reviewer is too low (you don't have enough reviewers per number of submissions)
- nepotism is enabled and the system couldn't allocate all submissions
- the topic cover is not good among reviewers so the system couldn't match all submissions.
If this happens you can check the All Statuses filter and find submissions that have been Partially allocated or Not allocated at all:
Step 4: Begin the review and notify reviewers
